Every exhibition job arrives with the same two facts: the artwork was approved late, and the stand date will not move. Why exhibition timelines break traditional printing

The clearest example came from inside our own group. PRO TECHnology needed a giveaway for its Beautyworld stand at the Dubai World Trade Centre — something visitors would take home rather than drop in a bin on the way out. The answer was an aluminium body-spray can printed full wrap, several artworks across the run.

One thousand cans were printed and delivered in two days, with no minimum order and no setup charges — the two things that normally decide whether an exhibition giveaway is worth doing at all. Every artwork ran through the same production without a separate setup for each.

Credentials are the other exhibition staple, and the hardest thing about them is consistency. For the launch of Manchester City Yas Residences on Yas Island, Ohana Development needed 5,000 aluminium VIP badges in gold on navy — two brands sharing a badge the size of a playing card, neither of which tolerates approximate colour.

Glassware, favours and the rest of the event

Events are more than giveaways. A bar service came to Sun Studio with several brands needing branded tumblers and bottles — every brand its own artwork, none of them wanting the volume traditional glass decorating demands. All of it ran as one production, printed direct, with glassware that goes back through a commercial dishwasher rather than into a bin at the end of the night.

Fête Events carried one wedding theme across velvet chair covers and wax pillar candles — two materials that behave nothing alike under a printhead, reading as one event across the room. And when a wedding planner needed a battery-powered fan printed for every guest at a summer wedding, the fan's sealed battery ruled out any process that needs heat to cure — direct UV, cured cold by lamp, was the route that worked. The pattern across all of them: one deadline, several artworks, materials that traditional decoration would each send to a different supplier.

What to send, and when

An exhibition quote needs four things: the item itself (or a photo with dimensions), the quantity, the artwork with the brand values for every colour that must match, and the date the goods must be in hand — not the show date, the in-hand date. The honest rule of thumb: the week before a major show, production slots in Dubai are the scarce resource everywhere. Sending the brief a week earlier than feels necessary is the cheapest insurance an exhibitor can buy.
